Automated team captain emails / Stewardship journey

Every time a new team is created, the team captain automatically receives a welcome email with the most useful next steps for getting the team off the ground.


In addition, a number of triggered emails are sent through the team's lifecycle. These cover the moments when a new member joins, when the team needs a nudge to get moving, and when key milestones are reached. See the complete list below.

The emails reference the team's team tools - the section where the team captain can send invitations, grab QR codes, and (once the team has members) send messages to the whole team.


A note on bundling


When several people join the team within a short window, the team captain doesn't receive a separate email for each. Instead, a single email lists all the new joiners, with up to six hours of joins bundled together. This avoids flooding the captain when momentum picks up.


Timeline of emails


Two timelines run in parallel.
One starts at team creation and covers the first eight days: a welcome (instant) followed by up to two activation nudges if the team hasn't yet attracted other members (day 5 and day 8).


The other follows the team's fundraising progress, with three milestone emails at 20%, 50%, and 100% of the goal.
The "new team member joined" email runs independently of these timelines and triggers whenever someone joins. Teams don't have an end date, so there are no end-date-driven emails (unlike the fundraiser stewardship journey).
